The Customer Service Representative works in a team setting to assist customers by answering product and service related questions, and suggesting alternative information or products when necessary.
They will routinely process orders, prepare correspondences and fulfill customer needs to ensure excellent service standards and maintain high customer satisfaction.
This position will work directly with Management, Shipping & Receiving, Accounting and Production departments within the organization.
They will also work in conjunction with third party LTL carriers to ensure a smooth and efficient shipping process.
The Customer Service Representative will represent the organization by being the first to answer phone calls and building relationships with customers.
DUTIES AND
Responsibilities:
Contribute to team effort by accomplishing department goals.
Identify, assess and satisfy customer needs.
Establish and build sustainable, professional relationships centered on trust through open & interactive communication with customers.
Provide accurate, valid and complete information - or help to find someone who can do so.
Coordinate refunds and/or exchange of goods and assist in the resolution of issues when necessary.
Report errors and faulty information to the Customer Service Manager.
Receive and process orders both online and through the phone.
Follow up with Production and Shipping to ensure safe, accurate and timely delivery.
Prepare Bill of Ladings, order forms and other applicable documents.
Respond directly to customer requests for information.
Understand the differences in types of customer firms and maintain confidentiality regarding customer information and company policies, pricing and other data.
Act as a liaison between Quality, Production and the customer when quality issues arise.
Maintain customer files and information in Syspro.
Accurately enter data into a variety of computer programs.
Work alongside Accounting Department to accurately invoice customers in a professional and timely manner.
Requirements:
Qualifications:
High school diploma or GED.
Competence with Microsoft Word, Excel and ability to learn/use other programs.
Strong communication skills, both verbal and written required.
Ability to multi-task, prioritize and manage time effectively.
Attention to detail and accuracy.
Ability to retain and recall product knowledge.
Strong phone contact skills, active listening and friendly, patient personality.
Mathematical skills - above average, quick mathematical skills are needed.
Previous office experience is required.
Experience with shipping and/or manufacturing preferred.
Strong Reasoning Ability:
He/she must be able to analyze problems, identify and implement alternative solutions, communicate the logic behind these decisions and be effective in doing so both within and outside the organization.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
